A Weekend to Remember

When it comes to that Festival weekend, the advice is leave it to the professionals, as John Jackson discovered

Festival Secretaries play a vital role in the life of a Lodge, and these days they are spoilt for choice. But one wonders how often there is general discussion in Lodges about where to go, leaving it instead just to the Master and his Festival Secretary.
    To guide Lodges in their possible choice, Freemasonry Today has taken a look at some of the festivals on offer. Principal Hotels is a group of characteristic, individual and highly distinctive hotels located throughout the UK, the Netherlands, Denmark and Ireland.
    One of its delights is the Selsdon Park Hotel and Golf Course, nestling in more than 200 acres of secluded parkland. It overlooks the Surrey Downs, and includes an 18-hole championship golf course, set alongside a fine neo-Jacobean mansion with a history spanning a thousand years.
    It is conveniently located, being only 13 miles from central London, 15 minutes from the M25 and 10 minutes from East Croydon railway station. Both Gatwick and Heathrow airports are within easy reach.
    Lesley Simpson, food and beverages sales executive at the hotel, has more than ten years experience co-ordinating masonic events. He puts their success down to three factors:

  • Offering heavily-discounted, all-inclusive rates for Masonic events – full weekends, overnight stays or non-residential – with no hidden extras;
  • Advertising in Freemasonry Today – to date this has generated more than 54% of all Masonic enquiries, of which 50% have resulted in books; and
  • Understanding and meeting the needs of each individual Festival Secretary, from initial enquiry through to event co-ordination.
Elliott Howell Associates have many years of experience in organising Ladies’ Festivals. They point out that such events are not an extension of the Lodge meeting, and require attention to detail, including ensuring the services of a qualified toastmaster. The company warns: “The ladies deserve the best, and the goodwill intentions of a Lodge member acting as Master of Ceremonies is just not good enough. Dance music for all ages is also essential.”
    Crucially, says the company, the President’s lady must be involved throughout. They add: “The evening should reflect her tastes, and not contain elements with which she feels uncomfortable.
    “If she doesn’t like the Ladies Song, leave it out. If she would rather not stand up and speak, ask someone else. If she requires coloured table linen to match an overall theme, get it for her.”
    R H Promotions is another professional organiser who can bring that extra touch to that special event. The company says: “Professional organisers should take care of all the booking arrangements, advising the Lodge and guests about the arrangements that have been made, with booking forms, directions, etc.
    “This assistance should also include the final payment, with room, dietary requests and any special needs being passed on to the hotel before arrival.”
    The company added: “Most organisers – when reasonably confident with the booking – will invite you along to the hotel to stay overnight with dinner.
    “You will be able to request the way you want your festival to be organised, and in due time offer their package price for the weekend or one night, calculated by the number of attendees.”
    One of the newer professional organisations providing Ladies Festival arrangements is VenueLink, formed in May 1999, offering a free service throughout the UK and Europe.
    Things can go awfully wrong and ruin a weekend. What happens if a fire closes a a hotel? Yes, it can happen – and not always to someone else. One case they solved was when VenueLink was asked to find 500 bedrooms in Plymouth when a cruise liner could not sail.
    For Ladies Festivals they offer a complete service, working closely with the Festival Secretary to ensure a stress-free and ultimately successful event.
    And of course, do not forget those orchids – either as bouquets or longer stems – and specialist provider Exotic Orchids from Thailand will supply them.
    So, as any Festival Secretary will tell you, planning is everything. But the advice is: do not leave it to the Lodge member or members who want to “get in on the act”. Make sure that professionals are there to give a guiding hand. There is no Lodge of Instruction for Festivals that go wrong!
